Cancellation & Rescheduling Policy 

The Drapery Spa 

When you book with The Drapery Spa, we reserve time exclusively for your service and begin advance planning, scheduling, and coordination. For this reason, payments are not automatically refundable if a service is canceled. The outcome of a cancellation or reschedule depends on the timing of written notice and is outlined below. 

A request is treated as either a cancellation or a reschedule. Cancellation fees and rescheduling fees do not apply to the same request. 

Payment Schedule & Requirements 

Deposit & Balance Payment 

  • A 30% deposit is required at the time of booking to reserve a service date and begin planning and scheduling. 
  • The remaining balance must be paid in full at least48 hours prior to the scheduled service time. 
  • If the remaining balance is not received by this deadline, the appointment will be automatically canceled in accordance with this Cancellation Policy. 

Payments are not automatically refundable. In the event of a cancellation, applicable cancellation fees will apply, and any remaining amount may be issued as a credit toward future service, as outlined below. 

Payment Deadlines & Late Payment Policy 

Late Payment Definition 

Payments received after the 48-hour deadline (i.e., less than 48 hours before the scheduled service time) are considered late and subject to the terms outlined in this section. 

Late Payment Consequences 

If payment is not received by the 48-hour deadline, the following consequences apply: 

Payments received between 24-48 hours before service: 

  • Appointment will be automatically canceled
  • Same-day cancellation fees will apply ($500 for standard jobs, $500 for large jobs)
  • A late payment fee of $100 will be assessed 
  • Client may reschedule subject to rescheduling policy, availability, and payment of all applicable fees

Payments received less than 24 hours before service: 

  • Appointment will be automatically canceled
  • Same-day cancellation fees will apply ($500)
  • A late payment fee of $100 will be assessed 
  • Client will be required to submit a new booking request with no guarantee of acceptance or scheduling priority 

Late Payment Fees & Interest Charges 

  • A late payment fee of $100 will be assessed for any balance not paid by the 48-hour deadline. 
  • Interest charges of 1.5% per month (18% APR) or the maximum rate permitted by Texas law, whichever is less, will accrue on any unpaid balance beginning 30 days from the original due date. 

Partial Payment Policy 

Partial payments do not constitute payment in full and will not prevent appointment cancellation or late payment fees. The full remaining balance must be paid by the 48-hour deadline to avoid cancellation and fees. 

Payment Method Failure 

If payment is declined, fails to process, or is returned for insufficient funds: 

  • You will be notified immediately via email and/or phone 
  • You will be given 24 hours from notification to provide an alternative payment method
  • Failure to provide payment within 24 hours will result in appointment cancellation and applicable cancellation fees
  • A late payment fee of $100 may be assessed if the payment failure occurs within the 48-hour window 

Non-Payment & Collection Actions 

  • Accounts unpaid for30 days past the due date may be referred to a collections agency. 
  • Legal action may be initiated for accounts unpaid after 60 days. 
  • Client will be responsible for all collection costs, legal fees, attorneys’ fees, court costs, and interest associated with collection efforts. 

 

Standard Job Cancellation Policy 

Services Under $5,000 

If a standard job is canceled, the following cancellation fees apply based on when the request is received. 

Any remaining amount paid, after the applicable cancellation fee, will be issued as a credit toward future service.

Credits toward future service are non-transferable, have no cash value, must be used within 12 months, and cannot be applied to cancellation fees. 

 

Large Job Cancellation Policy 

Services Over $5,000 

Large jobs require additional planning, materials coordination, and crew scheduling. If a large job is canceled, the following cancellation fees apply. 

Any amount paid beyond the retained deposit and applicable cancellation fee will be issued as a credit toward future service.

Credits toward future service are non-transferable, have no cash value, must be used within 12 months, and cannot be applied to cancellation fees. 

Rescheduling Policy 

If you request to move your appointment to a new date, the following rescheduling terms apply. Rescheduling fees apply only when an appointment is moved. They do not apply to cancellations. 

Rescheduling Fees: 

  • First reschedule: No fee
  • Second reschedule: $200 rescheduling fee
  • Additional reschedule requests: Service may be declined 

 

Scheduling Guidelines: 

  • A maximum of two reschedules is permitted per booking 
  • Rescheduled appointments receive last priority for new dates
  • Preferred dates are not guaranteed after a reschedule
  • Rescheduling does not reset cancellation timelines or fees

 

Client Responsibilities on Service Day 

Clients are responsible for the following prior to our arrival: 

  • Providing full access to the property at the scheduled time
  • Securing all pets in a separate room during duration of service
  • Ensuring water and electricity are available
  • Being present or providing clear access instructions in advance

If we are unable to access the property upon arrival, same-day cancellation terms apply. 

Emergency Exceptions 

We understand that unexpected situations can arise. In cases of documented emergencies such as hospitalization, death in the immediate family, or natural disasters, we will make a reasonable effort to work with you. 

Cancellation or rescheduling fees may be waived at our discretion in these circumstances. Documentation may be requested and must be provided within 48 hours of the scheduled service time. Fee adjustments are not guaranteed and are evaluated on a case-by-case basis. 

Written Notice Requirement 

All cancellation and rescheduling requests must be submitted in writing via email or text so we can respond promptly and accurately. Verbal requests and voicemail messages are not considered written notice. 

Final Terms 

Cancellation and rescheduling fees reflect actual costs incurred, including scheduling, labor allocation, preparation, and lost booking opportunities. 

By booking services and submitting payment, you acknowledge that you have read, understand, and agree to this Cancellation & Rescheduling Policy in full.
